Terms & Policies

  • Tuition is due in full prior to the start of each term in order to reserve a student’s place in class.

    • Full refunds (minus any payment processing fees) are available if cancellation is requested at least 7 days before the first class.

    • Cancellations made within 7 days of the first class are eligible for a 50% refund.

    • No refunds will be issued after the term begins.

    If Hana Japanese Center cancels a class due to low enrollment or unforeseen circumstances, families will receive a full refund or the option to transfer to another class.

  • Because our classes are small and interactive, attendance is important.

    We do not offer refunds or prorated tuition for missed classes. However, when possible, teachers may provide brief summaries or materials to help students stay on track.

    Make-up classes are not guaranteed.

    If a class must be canceled by Hana Japanese Center due to weather or instructor illness, we will provide a make-up session, extend the term accordingly, or provide a refund for the cancelled session(s).

  • We are committed to creating a safe, respectful, and focused learning environment.

    Students are expected to:

    • Treat classmates and instructors with respect.

    • Follow classroom instructions.

    • Participate in good faith.

    • Avoid disruptive behavior.

    If a student’s behavior consistently interferes with learning, we will communicate with the family to seek a solution. In rare cases where behavior cannot be resolved, Hana Japanese Center reserves the right to withdraw a student from the program without refund.

  • We understand that our decision to cancel classes during inclement weather often disrupts family schedules. Our top priority is the safety of our students and staff.

    Hana Japanese Center will close when:

    • The host facility (St. Agnes School) is closed, and we cannot access the building.

    • Weather or other conditions make travel to and from school hazardous.

    • A power outage or other circumstances make it difficult or hazardous to conduct classes.

    Notification

    If weather conditions are uncertain or if there is a closure or delayed opening, we will post a message on Hana Japanese Center’s homepage, Facebook, and Instagram.

    Hana Japanese Center will make every effort to decide to close school by Friday at 9 PM. If the forecast is uncertain, we will assess the weather forecast and road conditions in the morning. We will decide whether to open, close, or delay the opening by 7 AM. If there is no announcement, we will have classes as planned.

    Makeup Days

    When in-person classes are canceled due to inclement weather, we will attempt to reschedule them at St. Agnes School rather than shift to distance learning. However, this will not always be possible. If Hana Japanese Center opts for distance learning to make up for a cancelled session, detailed information will be included in an email to families. Tuition is NOT refunded when classes or other activities must be canceled.

    Safety

    If Hana Japanese Center does open, we understand that each family must do what is safest and best for them. If your child will be absent, please text or call us at 703-989-2616 so that we are aware.

  • Hana Japanese Center’s teachers are responsible for students’ classroom placement. Teachers consider the following factors when making class placements:

    • Age and grade level

    • Individual learning style and personality

    • Individual interests and approach to Japanese culture

    • Communicative abilities in Japanese

    • Relationships with other students and with teachers

  • By enrolling in Hana Japanese Center, families acknowledge that participation in classroom activities involves normal risks associated with group instruction.

    Parents/guardians agree to release and hold harmless Hana Japanese Center, its owners, instructors, and staff from liability for minor injuries or incidents that may occur during ordinary classroom participation.

    Families are responsible for informing us of any medical conditions, allergies, or special needs that may affect a student’s participation.

  • From time to time, Hana Japanese Center may take photographs or short videos of classroom activities for use on our website, social media, or promotional materials.

    No student names will be published without written permission.

    Families may opt out of photo/media use by notifying us in writing prior to the start of the term.

  • Hana Japanese Center collects personal information (such as student names, parent contact information, and emergency contacts) solely for enrollment, communication, and administrative purposes.

    We will:

    • Never sell or share your information with third parties.

    • Use secure systems to store registration data.

    • Communicate only about class-related updates and program information.

    Families may request access to or deletion of their information at any time by contacting us.

  • All Hana Japanese Center students are assigned a class each term in which then study Japanese language and both traditional and contemporary culture. The instructional program, which emphasizes open-ended, hands-on projects, fosters a sense of collaboration among learners and teachers. Students are expected to communicate with classmates and teachers in Japanese as much as possible, creating a supportive and inclusive learning environment.

  • In principle, classes have 6-15 students, with some exceptions based on class dynamics.

    While Hana Japanese Center considers language proficiency when placing students, other factors are also considered. Some classes may serve students of approximately the same age while others include activities in which students of different ages work together. In all classes, teachers apply best practices in teaching Japanese as a second or other language.
